NDWS General Questions

Survey Questionnaires/Sample Frame

  • Is there a variable that we can use to group clinician respondents within clinics? How many clinicians on average are surveyed from the same clinic?

    No, CC respondents can’t be grouped within a specific clinic or practice setting. Given the national sample, which was not created at the organizational level (unlike the staff surveys), it is extremely unlikely that two clinicians from the same clinic would have been sampled.

  • Do the sample sizes allow for subgroup analysis?

    The Community Clinician Wave 1 Final release and the Wave 2 NH and AL surveys are likely large enough to facilitate subgroup analyses, depending on the subgroup of interest. The HC data release will not be large enough to do so.

  • Are you sampling organizations affiliated with the VA?

    VA facilities are not part of our sampling plan at this time.

  • What types of staff are you collecting data from? Are social services staff or social workers included?

    Social workers and social services staff aren’t currently included, though they may be added in future waves. Job titles included in Waves 1 and 2 are below.

  • Have any of the survey questions been used in previous surveys? If so, are data from those surveys publicly available?

    Many of the questions were adapted from other sources rather than being exact. Download Survey Source Crosswalks on the NDWS website. Each question's source (and link) is in the farthest right column. If there is no source, it means the question was developed by the NDWS survey team. The available links can be used to investigate if data from previous studies are publicly available.

  • What, if any, steps are being taken to validate survey responses to ensure internal consistency/accuracy?

    Surveys include built-in validation checks to ensure internal consistency and accuracy. These checks validate consistency between responses (e.g., total beds used ≤ total beds available), apply date and range checks (e.g., residency year vs. degree completion year), and enforce mutually exclusive multiple-choice options. Hard checks confirm demographic data, such as the year moved to the U.S., as well as soft checks, for example if respondents indicated they did not currently have a clinical job. We also evaluate paradata (e.g., section timings), pre-fill some questions (from respondents' pre-survey screening or sample data), and follow up on incomplete responses to improve data quality.

  • Is the sample design nationally representative?

    Yes, the sample is nationally representative. In Wave 1, the sample is truly national for the Community Clinician Survey and the Nursing Home Survey. For the Wave 1 Assisted Living and Home Care Surveys, the sample frame represents assisted living communities and home health agencies from about 20 states. That sample was expanded in Wave 2.

Accessing the Data

  • Can a research assistant (undergraduate student) receive access to the MiCDA and LINKAGE platforms? If so, are there any associated fees?

    There are no fees for access to NDWS Restricted Data on MiCDA or LINKAGE in any case. Students may apply for access to Restricted Data, though they must provide additional supporting documentation if they are to be the Primary Data User. Please see the Restricted Data Request Form on our How to Access Data page for details.

  • If the linked data I want to use with the Community Clinician survey are included in the Claims-Based Summary File on your website, do I need to request additional linkage through a separate DUA?

    Yes – Researchers who want to use CMS data and/or the claims-based summary files must take extra steps to access these data, which include execution of a NIA DUA. Please see How to Access Data for more information. 

  • Do researchers need to have a current NIH-funded grant in order to use the restricted data available on the MiCDA or LINKAGE platforms or apply for pilot funding?

    No, a current or prior record of NIH funding is not needed to access NDWS restricted data via the MiCDA or LINKAGE platforms or to apply for pilot funding.

  • What statistical software do researchers need to be familiar with to use the NDWS survey and linked data?

    For data in MiCDA, per the MiCDA website in June 2026: Approved users are provided access to a virtual Windows workstation through a virtual desktop infrastructure. Each workstation is equipped with a suite of statistical software (including SAS, Stata, SPPS, MatLab, ArcGIS, R, and Stat/Transfer) and Microsoft Office. Additional software may be added upon researcher request, if approved by the MiCDA team.
     

    For data in LINKAGE, per the LINKAGE website in June 2026: This platform offers a secure, easy-to-navigate, and remotely accessible statistical analysis environment that meets federal data security requirements for protecting personally identifiable and private health information. Users have access to SAS, STATA, R, Python, MS Office applications and more. Programs not listed on this webpage cannot be used.

  • Does NDWS provide the state where the participant is residing?

    The county and state of survey respondents is available in the restricted use version of the surveys and in the linkable data sources that are available at the county- and state-levels. However, this geographic information is encrypted so that the actual state or county of the respondents is protected. For example, for respondents from the state of Michigan, the state variable "MI" would be replaced with a unique encrypted variable (e.g., "S2YWX3" [to be clear, this is not the actual encrypted identifier]). In linkable data sources available at the state level, information for Michigan would also be indicated by that same encrypted variable.

  • Was NDWS data collected under IRB approval?

    Yes, the NDWS data was collected under IRB approval from the University of Michigan Medical School’s IRB (IRBMED) under project #HUM00284131. Contact info@ndws.org if you need additional documentation for your own IRB review.

  • Was informed consent for future research obtained from NDWS respondents?

    We obtained informed consent from NDWS respondents, including secondary analysis/future research use: “Your deidentified survey data will be combined with data collected from other participants and stored in a NIH data repository. The deidentified survey data will be used for future research studies without additional informed consent.”

  • Do I need IRB review to access NDWS data? Does NDWS data have PII/PHI?

    If you are accessing the Public Use File on NACDA, you do not need any prior IRB review or approval to download the data. Consult with your own IRB whether you need their review/approval before using the data for research purposes.

    Restricted NDWS Data does not have any direct identifiers (PII) and does not contain any protected health information (PHI). If you are accessing the Restricted NDWS Data on LINKAGE, we do require some form of IRB documentation. However, due to the de-identified nature of the restricted data, an IRB determination of either “Not Human Subject Research” or “Exempt” is acceptable, unless you are also requesting CMS data (see more below). 

    CMS Claims Data contains health information that is de-identified to you and your team. However, LINKAGE uses PHI when matching records. If you are accessing CMS claims data in addition to Restricted NDWS Data on LINKAGE, you will be required to obtain IRB approval for conduct of human subjects research with a HIPAA waiver. Exempt determinations are permitted, but a determination of “not Human Subjects Research” is not acceptable.
